How to Use BellaChelle: A Complete Wedding Planner Guide

Learn how to set up BellaChelle and use its budget, guest list, Digital RSVP, vendor, timeline, seating, design, and collaboration tools.

BellaChelle is an all-in-one wedding planning app that keeps your plans together as they change. You do not need to complete every section at once. Start with the details that affect the rest of your wedding, then add tools as you need them.

1. Create your planner and add the essentials

After creating an account, add the basic information for your wedding. Begin with your wedding date, couple names, location, and any details you already know.

  • Add your wedding date or best current estimate.
  • Enter a working total budget.

2. Build a working wedding budget

Open the Budget tool and enter the total amount you can comfortably spend. Break that total into practical categories such as venue, food, photography, attire, flowers, music, stationery, and transportation.

Keep estimates and confirmed costs distinct. An estimate helps you plan; a confirmed cost shows what you have committed. Add deposits and payment dates as vendor decisions become final so upcoming obligations remain visible.

Review the budget after every major booking. If one category increases, decide together which other category can change rather than letting the total grow without a plan.

3. Add guests and household details

Use the Guest List as the source for names, contact details, households, plus-ones, children, attendance, meal choices, and notes. Add what you know now; incomplete records can be updated later.

Organizing guests by household makes invitations and follow-up easier. Accurate email addresses are especially important if you plan to send private Digital RSVP links.

4. Set up and send Digital RSVPs

First add guests to the Guest List. Then open Digital RSVP and choose the questions that apply to your celebration. You can ask about attendance, party size, children, meal selections, dietary needs, desserts, sides, and other supported details.

Preview the response card before sending it. When it is ready, send each guest with an email address their private invitation link. A submitted response updates the matching guest record, so you do not need to copy answers between tools.

Check unanswered invitations as the deadline approaches and follow up directly with guests who still need to respond.

5. Organize venues and vendors

Use vendor tools to keep business names, contacts, service details, notes, pricing, deposits, and decisions together. Compare vendors against the category amounts in your budget before committing.

When you choose a vendor, keep the cost and payment information current. Store your planning notes in the vendor record instead of relying on scattered email threads.

6. Use the timeline and itinerary for different jobs

Your planning timeline answers: what needs to be done before the wedding? Use it for booking deadlines, design decisions, fittings, RSVP dates, final counts, and payment milestones.

Review the planning timeline weekly. Review the day-of itinerary with your key vendors and helpers as the wedding approaches.

7. Create a seating plan after responses are clearer

Wait until you have a reliable attendance picture before finalizing seating. Use guest households, relationships, accessibility needs, and meal details to place people thoughtfully.

Treat the seating plan as a working draft. Changes are normal when guest responses change. Keep your Guest List current so the information you use for tables remains accurate.

8. Connect food planning to RSVP choices

Add your meal and drink options in Food & Drinks before asking guests to choose them. Accepted Digital RSVP meal selections can then contribute to live meal counts.

Use calculators as planning estimates, not vendor guarantees. Confirm final quantities, staffing, service details, and dietary procedures with your caterer or venue.

9. Create and organize wedding media

Use the Media Library to keep supported wedding photos and creative assets available to planner tools. Depending on your plan, you can create Save the Date designs, invitations, and a keepsake video from your photos and music.

For Save the Date projects, build with editable layers and preview carefully before export. For videos, choose your photos, arrange the storyboard, add captions or music, set timing and transitions, then preview before exporting.

10. Invite a trusted planning helper

If someone is helping you plan, invite them through Team Planner. They can return to the shared wedding through the Team Planner login instead of creating a separate wedding or using the account owner's sign-in details.

Only invite people you trust with the wedding information in your planner. Remove access when a person no longer needs it.
